Job Description
Reporting directly to the Vice President of Human Resources the Human Resources Generalist is responsible for payroll; ensuring accurate processing and recording of the company’s payroll and providing timely and accurate payroll information and performing HR-related duties on a professional level. The HR Generalist works collaboratively with other departments throughout the company and requires a strong aptitude for details and the ability to work in a fast-moving environment.
Human Resources
- Manage workers compensation claims
- Train managers/supervisors in the HRIS system
- Participate in administrative staff meetings and attend other meetings and seminars
- Develop new procedures for the HR Department
- Maintain employee files and manage company documents
- Ensure all benefits and annual job rate increases are applied and updated by receiving benefit payments on time
- Enter all employment changes (e.g. promotions, demotions, merit increases, transfers)
- Maintain filing system for garnishment payments
- Reconcile monthly benefit invoices against HRIS records for accuracy verification
- Conduct an annual compliance audit of the HR files
- Track AAA memberships
Payroll
- Coordinate payroll process
- Process biweekly payroll in UltiPro
- Respond to employees’ payroll related questions
- Process general ledger entries of payroll and accruals
- Prepare payroll informational reports upon request from Finance
- Monitor accrued PTO against the general ledger balance, quarterly
- Reconcile W2 wages and payroll tax reports quarterly to resolve any discrepancies
- File EEO-1 report annually; maintain other records, reports and logs to comply with EEO regulations
- Compile payroll registers, W-2s and quarterly Company tax reports as requested for audit purposes
- Track and balance all Health Savings Account (HSA) contributions
- Prepare quarterly 401k Eligibility Report and annual 401k Testing & Filing Report for review by VP of Finance
- Prepare and process time sheets at departmental standard
- Prepare general ledger journal entries for bank fees, payroll taxes, and pension
Required Qualifications:
- Bachelor’s degree in Human Resources, Business with an HR focus, or in a related field
- Three to four years of experience as a Human Resources professional
- 1+ years’ experience with UltiPro Payroll System
Additional Qualifications:
- Professional in Human Resources (PHR) certification or Society for Human Resource Management Certified Professional (SHRM-CP) certification
- Experience administering a Human Resources Information System (HRIS)
- Experience with UltiPro Payroll
- Familiarity with processing of payroll using an outside payroll service
- Solid employee relations experience
- Strong knowledge of federal and state regulations
- Basic accounting knowledge
- Demonstrated ability to produce written communication at a professional business level
- Ability to communicate clearly and effectively (verbally and non-verbally) to individuals and groups, internally and externally, to exchange ideas and convey detailed information accurately
- Able to maintain a positive work place environment under challenging situations
- Proven ability to manage multiple projects simultaneously
- Ability to work independently and accurately with minimal supervision
