Job Description

The Office Administrator is primarily responsible for general receptionist activities, including oversight of the reception area, mail services, office supply purchasing and general facilities.  This individual will greet clients, candidates & employees and operate a multi-line telephone system to answer incoming calls.  The Office Administrator will also act as an executive administrative assistant, as needed.


Roles & Responsibilities:

  • Provide warm and engaging welcome for clients, candidates & employees, determine the nature of business and announce visitors to the appropriate internal contact
  • Address general questions about the company and provide visitors with requested information
  • Answer incoming telephone calls, screen callers regarding the purpose of their call and transfer to the appropriate internal contacts
  • Work proactively to ensure telephone coverage is always maintained
  • Active participation in preparation for employee relation initiatives and events
  • Embrace and help cultivate a fun and dynamic company culture
  • Assist with coordination and execution of community & volunteer events
  • Coordinate with 3rd party contractors and/or property management company and oversee the maintenance/repair of office space & equipment (e.g. copier, treadmill desks, etc.)
  • Serve as primary contact between Versique and our IT services manager
  • Key role in onboarding process for new employees (e.g. desk and tech set-up, account access, etc.)
  • Open & close the office each day, including break room & general facilities upkeep
  • Proactive management of general office & break room supplies
  • Perform other clerical duties such as processing inbound and outbound mail and other ad-hoc tasks
  • Provide support to executive management team including calendar management, travel arrangements, appointment scheduling and other executive administration tasks as assigned


Required Skills and Expereince:

  • Associate degree and/or 3+ years of administrative experience required
  • Executive Search, Staffing or other service industry experience preferred
  • Professional, patient, dependable and outgoing
  • Exceptional communication and writing skills
  • Team- and client-service oriented
  • Proven strong planning and organization skills
  • Able to change priorities quickly and follow directions
  • Proficiency in Microsoft Office applications is required
  • Working knowledge of mail processes such as postage machine, Federal Express and UPS
