Accounts Payable Specialist

The Accounts Payable Specialist is responsible for managing vendor invoices, ensuring timely and accurate payments, and maintaining organized financial records. This role supports financial operations, vendor relationships, and month-end close activities within a growing, multi-site manufacturing environment. This individual will partner closely with the AP/AR Supervisor and cross-functional teams to drive efficiency, maintain strong internal controls, and support continuous process improvements.

Worksite Location: Minneapolis, MN – Hybrid/Onsite Opportunity; local candidates preferred

Salary Range: $60 – $70K/yr base salary (DOE)

Roles & Responsibilities:

· Process, code, and enter vendor invoices accurately, ensuring proper GL account, cost center, and project allocation
· Perform three-way matching of purchase orders, receipts, and invoices; resolve discrepancies with Procurement and Operations
· Verify appropriate approvals in alignment with internal control policies
· Maintain and update vendor master data, including W-9s, tax classifications, and banking information
· Manage AP aging reports and proactively identify and resolve past-due items
· Build and maintain strong vendor relationships and respond to inquiries or discrepancies
· Prepare and execute weekly and ad hoc payment runs in alignment with vendor terms and cash flow priorities
· Monitor payment cycles and support optimization of disbursements, including capturing early payment discounts
· Ensure compliance with internal controls, including documentation, approvals, and segregation of duties
· Support 1099 reporting and assist with annual filings
· Prepare AP-related journal entries and reconciliations, including sub-ledger to GL tie-outs and accruals
· Assist with month-end and year-end close by providing AP aging and supporting schedules
· Contribute to weekly cash forecasting through accurate disbursement tracking
· Support internal and external audits by gathering documentation and maintaining organized records
· Identify opportunities to improve AP processes, automation, and system efficiencies

Required Skills & Experience:

· Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred)
· 2+ years of accounts payable or general accounting experience
· Strong understanding of accounting fundamentals, including debits and credits
· Proficiency in Microsoft Excel and MS Office tools
· Experience working within ERP systems; QuickBooks Online experience preferred
· Experience in a manufacturing or industrial environment
· Strong attention to detail, organization, and ability to meet deadlines in a fast-paced environment
· Excellent communication and problem-solving skills
